Undergraduate Admissions Graduate Assistant

To perform general office duties and answering incoming phone calls for Undergraduate Admissions.

  • Full-Time (35 hours/week)

    • $12,300 stipend
    • $15,000 tuition waiver

Knowledge & Skills Needed

Responsibilities

  • Maintain office communication, including:
    • answering incoming phone calls for Undergraduate Admissions
    • Assisting callers with any questions regarding admissions events, tours, etc.
    • Routing calls to the appropriate admissions staff or department
    • greeting walk-ins
  • Particular care must be given to updating information in Slate CRM - registering and cancelling of registrations
  • Help manage daily communications and voicemails
  • Assist in data entry of inquiry cards and pertinent application information
  • Assist in review and updating admissions directory
  • Assist with special events, including: planning, preparation and attendance
  • Specific duties assigned to assist the directors in their respective areas of responsibility. May include one or more of the following:
    • Assist with office supplies, printed materials, inventory
    • Ability to speak publicly and conduct information sessions (if needed)
    • Assist with completing call lists/outreach to prospective students and following a communication script
    • Reading applications (if needed)

Unusual Working Conditions

Weekday hours may be adjusted due to required attendance at weekend campus tours and large scale admissions events. Limited duties during winter break and spring break.

International Admissions Counselor Graduate Assistant

Assist the office with all aspects of recruiting full-time, degree-seeking international undergraduate and graduate students.

  • Part-Time (20 hours/week)
  • Compensation: $15,600 partial tuition waiver

Knowledge & Skills Needed

  • Bachelor's degree
  • Excellent verbal and written communication skills, with strong presentation skills
  • Priority given to fluent bilingual speaker (Arabic, Spanish, Chinese, Japanese, Telugu or Urdu)
  • Software literacy: experience using Microsoft Office, Adobe, TABLEAU, etc. (preferred)
  • Social media literacy and ability to analyze data to impact results from social media accounts (Facebook, Instagram, WhatsApp, Line, WeChat, Google Analytics, SEO)
  • Highly motivated, self-starter, independent worker, able to prioritize and initiate
  • Able to handle complex and multiple tasks simultaneously
  • Strong organizational skills
  • Attention to detail
  • Willingness to occasionally work unconventional hours
  • Travel may be necessary, both domestic and overseas, therefore, experience traveling overseas is preferred
  • Valid U.S. driver's license, national passport and accessibility to transportation
  • Ability to provide excellent customer service to diverse constituents

Principal Duties & Responsibilities

  • Assist with the implementation of recruitment activities to build the inquiry pool, generate applications and increase enrollment
  • Pre-assess applications and prepare files for admission review, including:
    • Verify English language scores (IELTS/TOEFL/Duolingo etc.)
    • Verify data of Agent representation (release form and information on application)
    • Verify undergraduate application materials
    • Data-entry of prospects, including prospects from travel and lead generation services
    • Manage deferrals
    • Manage "undeliverable" emails
    • Manage office emails account (intl@sacredheart.edu and/or gradint@sacredheart.edu)
    • Manage the issuing of Plans of Study (graduate)
    • Manage counselor/agent contact data in Slate
    • Manage EducationUSA account
    • Manage enrollment inquiries from agency partners
    • Process fee waivers (application, enrollment deposit, tuition down payment)
    • Respond to inquiries from financial service agencies (i.e. Avanse)
    • Manage denials due to fraudulent behavior
    • Travel in U.S. for the purpose of recruiting international students (possible)
    • Travel outside the U.S. for the purpose of recruiting international students (possible)
    • Schedule prospective student appointments (virtual and on campus)

Occasional non-traditional work hours between 10 p.m. and 6 a.m. EDT
