Before creating, managing, or contributing to an official Sacred Heart University social media account, faculty, staff, and students must receive approval from their department and notify Marketing & Communications.
When managing a University-affiliated social media account, you are representing Sacred Heart University. Content should reflect the University's mission, values, brand standards, and commitment to fostering a welcoming community.
All content should be accurate, respectful, and appropriate for public audiences. Remember that social media content can be shared, archived, and viewed beyond its intended audience, even after it has been deleted.
Official University accounts are expected to follow Sacred Heart University's brand guidelines, visual identity standards, and social media best practices.
Marketing & Communications provides guidance and support regarding social media strategy, content, branding and platform best practices.
Departments should coordinate with Marketing & Communications before responding to issues involving emergencies, crises, reputational concerns, or significant media attention.
Departments are responsible for maintaining current account ownership information and ensuring account access can be transferred when staffing changes occur.
If ownership of a social media account changes, notify the Social Media Team so we can update our social media account registration records and maintain accurate account ownership information.
Protect confidential, private, and proprietary information at all times. Never share information that violates FERPA, HIPAA, NCAA regulations or other applicable laws, policies, and privacy requirements.
Respect copyright, trademark, licensing, and fair-use requirements when using photos, videos, music, graphics, and other third-party content. Ensure that you have the necessary rights or permissions before posting.
Consider accessibility when creating content. Whenever possible, use captions, alternative text, descriptive copy, and other accessible design practices to help ensure content can be accessed by all audiences.
Social media channels are intended to encourage engagement and dialogue. Comments and posts should not be removed solely because they express differing opinions. However, content that is unlawful, threatening, discriminatory, harassing, spam-related, or otherwise violates platform policies or University guidelines may be hidden or removed.
Account administrators are responsible for maintaining account security. Use strong passwords, enable multi-factor authentication whenever possible, and promptly update account access when team members change roles or leave the University.
Departments and organizations should establish a succession plan for account ownership and administration. Account credentials and access information should never reside with a single individual.
Marketing & Communications reserves the right to request account access, recommend corrective action, or require the removal of content or accounts that do not comply with University policies, brand standards, or these guidelines.
Because social media platforms, technologies, and best practices continue to evolve, these guidelines may be updated periodically by Marketing & Communications.
