Student Financial Assistance Graduate Assistant

July 1, 2024 - June 30, 2025 (with an option for a second year)

Primary Role

To perform general office duties as well as assist staff, and students as a peer mentor, to create a cohesive and smooth transition of day-to-day activities. 

  • Full-time (40 hours/week)
  • Academic Program(s) Preferred: Master of Business Administration (MBA), Communications, Finance or Accounting

Principal Duties & Responsibilities

The foremost responsibility of this GA position is to maintain office communication, including answering phone calls and greeting walk-ins. Particular care must be given to updating comments in PowerFAIDS student system. 

  • Help manage daily communications in regard to voicemail and SFA email
  • Maintain student information materials. Ensure sufficient printed forms, brochures, notices and SFA folders are prepared and information center is stocked daily
  • Assist in data entry and support of document imaging system
  • As needed, assist in coordinating mailings to students
  • Assist in review and updating SFA website
  • Assist with special events, including: planning, preparation, and attendance
  • Specific duties assigned to assist the Directors in their respective areas of responsibility. May include one or more of the following: 
    • Assist in coordinating the University student employment program, including: application processing, tracking, reporting, assessment and placement of students throughout campus
    • Assist in the reconciliation and reporting of institutional, federal, state and private funds. May require extensive excel report development and entry
    • Assist in the application and appeal process for new students
    • Provide back-up for counselors in tracking acceptances, transfer evaluations, awarding, verification and withdrawals/refunds
    • Provide back-up for loan processing, entrance and exit counseling and affordability programming
  • Other duties as assigned

Knowledge & Skills Needed

  • Some knowledge of financial aid process
  • Administrative office experience preferred
  • Excellent interpersonal and organizational skills
  • Excellent computer and Microsoft Office skills
  • Ability to manage multiple projects and timeliness
  • Ability to speak publicly and conduct group presentations
  • Ability to work effectively, independently and within teams
  • Fluent in Spanish is an asset: to converse in Spanish in front office via phones and walk ins as well as to aid counselors in communicating with our Spanish speaking families

Unusual Working Conditions

Summer hours required. May require some nights and weekends.
